Covid-19 Coronavirus Notice — To Clients and Guests of Allen Wellman Harvey Keyes Cooley, LLP

To Our Clients and Guests,

On March 11, 2020, the World Health Organization declared the COVID-19 coronavirus outbreak a global pandemic. On May 1, 2020, Governor Holcomb issued Executive Order 20-26, which provided guidelines for re-opening the State of Indiana after a period of “sheltering-in-place”. Governor Holcomb subsequently issued Executive Orders 20-28, 20-32, 20-35, and 20-37 each of which provided further guidelines for reopening Indiana. We at Allen Wellman Harvey Keyes Cooley, LLP are committed to the health and safety of you, as well as our attorneys and staff. To that end and consistent with the global health crisis and Executive Orders above, we have implemented the following policies, which we ask that you read and help us to observe:

  • We will conduct meetings virtually, via telephone or video conference, whenever possible. We will continue to meet in person with you when, in our sole discretion, a face-to-face meeting is necessary to prevent a significant adverse impact on your financial or legal position and you consent to meeting in person. Please note that you can request an in-person meeting at any time and your preference for an in-person meeting will always be considered. However, due to the on-going threat of COVID-19, the current lack of an effective treatment or vaccine, and the increased risk for certain individuals or groups, the discretion as to whether to conduct an in-person meeting versus an electronic meeting will rest with the attorney who will be meeting with you.
  • If you are ill or at risk, or a space that provides adequate personal space is not available for your appointment, we may reschedule your appointment to another time or date, or to take place by telephone. Please understand that we do not take the decision to reschedule appointments lightly because we understand both your time and legal matter are important, and we will never reschedule an appointment if we believe that doing so will adversely impact your legal matter.
  • In the event an in-person meeting is necessary, please observe the following policies:
    • Please notify your attorney, the attorney’s staff person, or our receptionist immediately if you:
      • Have a fever, cough, or feel sick; or
      • Have traveled to a high-risk area or been in contact with a person infected with COVID-19
    • You will be required to answer screening questions when scheduling your appointment, and again on arrival to our office. If, in our sole discretion, we conclude that your answers to the screening questions indicates to us that your attendance at a meeting in our office would create a risk for the spread of COVID-19, we reserve the right to change the meeting to an electronic meeting or to reschedule it at a later date.
    • To comply with Executive Order 20-37, we require that you wear a mask or face covering while in our office. We will also maintain physical distancing in our interactions with you, as discussed elsewhere in this notice.
    • If you arrive early for your appointment and/or the attorney meeting with you or conference room you are scheduled to meet in is not yet available, we may ask you to return to your vehicle to wait in order to avoid having excess individuals in our reception area.
    • Please use the hand sanitizer provided to clean your hands in our waiting room. Alternatively, our receptionist can show you to our restroom to wash your hands. Our conference rooms will have additional hand sanitizer and our restrooms will be equipped with anti-bacterial soap for washing hands during and after appointments.
    • If you are required to complete paperwork during your visit, we will provide you a new pen, which we ask that you retain and take with you to your appointment and when you leave our office.
    • We have eliminated shared reading materials from our waiting area.
    • We will clean surfaces in our conference rooms between appointments.
    • We have spaced the chairs in our conference rooms and offices to minimize contact and ask that you please leave chairs in approximately those positions.
    • We will maintain physical distancing of at least six (6) feet during all appointments and wherever possible while moving within our office.
