Microsoft 365 LoboMail Defender Email Security

What is the new email protection available in LoboMail?
Does Microsoft A5 licensing include additional email protection?
What are the Safe Links warning that sometimes appear after clicking on a web link in Outlook?

Spoofing protection adds additional visual clues for incoming emails with inconsistencies between the From address shown in the body of the email and the sending server. In LoboMail Outlook on the Web and Outlook desktop, additional safety tips are added at the top of an email if spoofing is suspected.

'This sender appears similar to mary@contoso.com, who previously sent you  an email, but might not be that person.'

'This sender might be impersonating a domain that's associated with your organization.'

'The email address  MARY@CoNToSO.CoM  includes unexpected letters or numbers. We recommend you don't interact with this message.'

Safe Links URL protection scans and rewrite URLs (web links) to facilitate time-of-click verification of links in email messages, Teams chats, and Office online documents. Clicking a Safe Links rewritten URL opens the browser in Microsoft Safe Links infrastructure for evaluation before redirection to the site or opening a warning page if a safety issue is detected. No click-through is allowed from the warning page to prevent the inadvertent opening of malicious sites. Hovering on a link shows the original URL. The Safe Links URL is seen if viewing a message in plain text or in the browser if the link is followed.

Safe Attachments is a protection strategy that uses a virtual environment to evaluate email attachments that may have passed anti-malware filtering. If Safe Links detects malware in an email, it replaces the attachment with a plain text file named Malware Alert Text.txt before delivering the email body.

Zero-hour auto purge (ZAP) is an email protection feature that retroactively detects and neutralizes messages already delivered to LoboMail mailboxes but later identified as malicious phishing, spam, or malware, by moving them to the Junk Email Folder or Quarantine.

FAQ

Will these features have a significant impact on users?
  • In most situations, there will be no additional impact from current email protection unless a malicious email is detected. The University benefits from a safer online workplace and fewer security-related incidents.

If a malicious email is received, how should it be reported?
  • Use the Report Message Add-In for Outlook or Outlook on the Web to report spam and phishing emails, or forward the email to spamdrop@unm.edu. For urgent matters, contact the UNM Information Security and Privacy Office at security@unm.edu.

Does enhanced protection mean emails or attachments are being read or saved?
  • No. Safe Links and Safe Attachments are new features applied to existing automated anti-spam and anti-phishing processes. They do not use any human intervention or review.

Is there a delay in the time it takes to receive or open an email if a file is attached?
  • Attachment scanning takes place before delivery and can add 30 to 50 seconds between sending and receiving an email within LoboMail. There is no additional delay in opening emails or attachments once they are received. Delays longer than a minute or two or error messages when opening an attachment should be reported to the IT Service Desk at (505) 277-5757 as a possible service outage.

Is the additional protection applied if email software other than Outlook or Outlook on the Web is used?
  • Safe Links and Safe Attachments are applied to the LoboMail mailbox, but other desktop email clients do not have features like the safety tips or Report Message Add-in.

Will Safe Links protect from malicious sites when browsing the Web?
  • No. Safe Links only scans embedded links when clicked from within an email or document.

Does seeing the Safe Links warning page indicate a malware infection?
  • No. A Safe Links warning indicates protection from a possibly malicious site, not a desktop system malware infection.

What if the protection action is in error?
  • If blocked, the Safe Links URL or the original URL can be entered and opened in a web browser if not blocked by other security functions.
  • Known safe email attachments or URLs that have been blocked should be submitted by opening up a Service Request at help.unm.edu with the original email for evaluation.
