Event Reservation Form

  • All student groups must receive approval from OSE prior to making an EMS reservation
  • Event Reservation Forms must be submitted at least 15 business days in advance
  • Incomplete forms will not be approved
  • Students completing the form should include as much detail as possible about their event; include the who, what, where, why
  • Off-campus vendors must submit a COI and proof of vaccination/symptom tracker


Reminders

  • Plan ahead!
  • Only current Scripps College students, part of active CLORGs/student groups may submit an Event Reservation Form
  • Please allow up to 4 business days to receive an email from OSE with the status of your form submission
  • The process is similar to Fall 2021 but after you receive approval from OSE, you will attach your confirmation and reserve the room yourself on EMS
  • Multiple sessions of the event are encouraged to allow for larger attendance 
  • RSVP/registration for your program/event is highly encouraged
  • Review the 2021-2022 Event Protocol Guide for information on Vibrancy Courtyard reservations.
  • Consult the Scripps College Academic Calendar and holidays before selecting your event date
  • The alternate event date you request cannot be on the same day as your primary request date.
  • Submit an Event Posting/Flyer Approval request at least one week prior to the event.
  • Have a sign-in sheet
  • Submit Post-Event Tracker within 48 hours of program completion
  • Last day to host a student program/event for Spring 2022 is May 4, 2022

Current Program Policy*

  • Events must be approved by OSE prior to submission on EMS
  • Capacity limits apply to all spaces (indoor or outdoor)
  • Programs/events may take place outdoors, virtually or in person
  • Masks (surgical grade or higher) are required at all times at INDOOR programs/events
  • No food/drinks may be consumed at INDOOR programs/events
  • Food/drinks OUTDOORS must be consumed while siting in a designated eating area


  • Vibrancy events, occurring Th-Sa 9pm-1am, are restricted to 1C attendance and require hosts(s) to meet with OSE and sign a compliance agreement prior to event
  • Vibrancy events with 40 or more attendees, require a secondary host


  • All off-campus trips must be registered and follow the guidelines below:
    • Masks (surgical grade or higher) must be worn indoors, including vehicles, at all times
    • Social distancing must be practiced
    • No food/drink should be consumed indoors
    • Event attendees must abide my local ordinances and venue guidelines
    • For overnight trips, car groups must be housed together and there should be no more than 2 people per room
    • All planners and attendees must get tested the next business day of returning from an off-campus trip


*Policy is subject to change. Student event planners are required to submit requests a minimum of 15 business days in advance of a proposed event prior to reserving a location via EMS.
