Reuters Events operates a wide portfolio of events globally and recognises the ever evolving impact of Covid 19 on our industry. To ensure we uphold the highest standards of health, safety and security, our first priority will be to ensure our events run in accordance with official government guidance and regulations. Additionally, Reuters Events will be following the four cornerstones of the All Secure Standards: Physical Distancing, Cleaning & Hygiene, Protect & Detect and Communication. These industry driven guidelines, developed by leading industry associations including the AEO, UFI & SISO, offer best practices to support the safe delivery of all types of events across the world, and will therefore underpin our health and safety plans.

Reuters Events All Secure Pledges

The ‘new normal’ for event delivery is evolving to reflect government guidance and new societal expectations across the globe. However, what will never change is our commitment to upholding a safe environment for Reuters Events customers. Our All Secure Pledges outline the enhanced measures in place to provide our attendees with confidence that their health and safety is our number one priority.

Physical Distancing

Whilst we are excited to be back to meeting in person, in the interest of keeping you all safe we do have some measures in place to limit close contact.

  • Registration:
    A contactless registration system will be in place to allow for easy access to the event, to limit touchpoints and minimise queuing.
  • Crowd Density & Social Distancing:
    We are working with venues to implement measures to assist with crowd density and social distancing throughout the event space, appropriate to the public health circumstances existing at the time of the event and always following local health authority guidelines and mandates.
    You may see a number of the following across the event space:
    • Increased distancing between chairs in the meeting rooms and networking areas
    • Queue management systems and/or one way flows in key high traffic areas
    • Wider exhibition aisles
    • Signage and floor markings
    • Maximum capacities set for certain rooms or sessions
  • Physical Contact:
    We have removed printed materials, including show guides, attendee lists and agendas and will be encouraging use of our event app where this information will be hosted.
    Exhibitors are also being encouraged to opt for digital materials in place of physical giveaways and to use data capture devices for contact free sharing of business details.
    To respect individuals’ personal space, we advise against conventional ways of greeting peers that encourage being in close proximity, such as handshakes and embraces.

Protect & Detect

All events will follow relevant government regulations and health authority guidance, however some additional measures will be in place for enhanced protection.

  • Face Masks:
    Reuters Events may ask participants and staff to wear masks when entering the event space in line with government rules and regulations and health authority guidance. Should this be necessary, we reserve the right to refuse entry if someone is unwilling to comply. We will have masks available upon request at all of our events.
  • Health & First Aid:
    Attendees are reminded not to attend if displaying any Covid 19 symptoms. Any potential onsite Covid 19 cases will be handled following health authority guidance and all events will have access to a qualified first aider.
  • Screening:
    To ensure the safety of everyone onsite, Reuters Events may implement an Entry Policy, appropriate to the public health circumstances and government regulations existing at the time of the event.
  • Contact Tracing:
    We encourage all attendees to use a local ‘Track and Trace’ app if available whilst onsite at the event.
    Should it be necessary, Reuters Events will work with local authorities to trace and contact participants, subject to local privacy regulations.

Cleaning & Hygiene

We are committed to hosting our events at venues across the world that have a robust and up to date approach to venue cleaning and hygiene and uphold the highest standards of food safety.

  • Enhanced Venue Cleaning:
    The venue will be conducting regular enhanced deep cleaning and sanitization before and during the event; focussing on high-touch areas such as restrooms, door handles, catering areas, meeting rooms and furniture in networking areas.
    Meeting rooms will be thoroughly cleaned in between sessions
  • Hand Hygiene:
    For you to feel personally protected, we will ensure that hand sanitiser is readily available throughout the event space whilst also encouraging consistent hand washing.
  • Ventilation:
    We will ensure the venue has a suitable HVAC (heating, ventilation, and air conditioning) system and where possible we will increase outdoor air flow.
  • Food & Beverage:
    We will minimise self-service buffets in favour of served or individually packaged food options

Communication

We understand that as we transition back into holding events in person, there will be concerns and questions you would like addressed. Putting the minds of our customers at ease and showing our commitment to keeping you safe is high priority. We are committed to providing up to date communications pre, during and post event.

  • Pre and Post Event:
    Keep your eyes on the event website, app, sponsor/exhibitor portals and your inbox as we will be bringing you the latest updates via these channels.
  • At the event:
    Through public announcements and event signage we will be ensuring everyone onsite is fully aware of how things are working to keep everyone safe.
