Project Ensemble Update


Hello all - 

As we transition from summer into fall, I wanted to provide you with a brief update on Project Ensemble, our collaborative effort in implementing transformative solutions for our institutions.  Since we went live earlier this year with Oracle Finance, we have implemented two upgrades, and have transitioned to quarterly upgrades, the next one being in November.   We continue to make progress in stabilizing Oracle Finance, and readily admit it is a learning process for all.  A large focus for the next several months will be on reporting.  The Finance teams at each of the colleges remain deeply engaged in establishing collective priorities, problem solving and moving towards stabilization.

The Advancement teams at all three institutions are actively engaged using Blackbaud on a daily basis and a pulse survey from late summer indicates strong user adoption. It also helped us identify specific areas for follow-up training which is being implemented now.  

The Oracle HCM Project has had its challenges.  Slated to go live in September, we moved our go-live to a later date and are closely monitoring the success of key milestones, such as User Acceptance Testing and (of course) validating payroll, on the way to a go-live date.  The HCM Project Team continues to demonstrate utmost diligence (and patience) in ensuring the product is implemented with our needs in mind, and working accurately.

Similar to our governance structure for the implementation of our new systems, that brings together stakeholders from each area affected by the implementation and from each school, we also need to ensure that in a live environment we continue talking to each other about changes that are being made that might affect us cross-module and cross-institution. The ERP Operations Committee, representing leads from each module, has been established to do just that and will help us strengthen prioritization, skills and knowledge across all three institutions.  

Thank you all for your support in the collaborative efforts of the Consortium, formed by the institutions over 6 years ago.  Due to your efforts, we have made significant progress from our first brainstorming possibilities to where we are at now. While not always easy, the engagement across our community is inspiring, meaningful and beneficial to all.

Institutional Benefits Update  

We are pleased to announce that with the combined strength of Champlain College, Middlebury and Saint Michael's College, all are able to offer more benefit options starting 1/1/2020.  To help you understand your choices, the new offerings and to prepare you for open enrollment in November, Benefit Educational Sessions are being offered at each college in September and October.  We have partnered with Hodges & Mace who will have counselors on site to assist you in enrolling in your benefits.  Each college will also be using a new enrollment software, SmartBen, for this year's open enrollment - the counselor will record your choices in the new system for you.  Please look for detailed communication from your Human Resources teams on important information on the new plans, new benefits being offered, information sessions and times to sign up to meet with the counselors to enroll for benefits in 2020, in the coming weeks.   

GMHEC Accounts Payable Services 

The GMHEC Shared Services Accounts Payable team is fully staffed and is now providing services to all three colleges and GMHEC.  We have established a regular schedule for processing, including check approval and runs, and are working closely with each institution on their specific needs.  Utilizing the ServiceDesk System, we are monitoring our daily volume and resolution process.  Have a question... please refer to the GMHEC Knowledge Base for Accounts Payable or contact ap@gmhec.org.

Green Mountain Higher Education Consortium
has a new home!  

 
Green Mountain Higher Education Consortium started in 2012 as just a vision.  During the last six plus years, we have engaged with our member institutions on initiatives and many of you have contributed to how far we have come.  Operating from the colleges, we then migrated to Kennedy Brothers in Vergennes into co-located/shared space. 

We are pleased to share that GMHEC now has its own home.  Located in Shelburne Green, right off  Route 7 near Shelburne Winery, Fiddlehead Brewery and Folino's Pizza.  

Already, we have seen the benefits of this collaborative space.  Should you have a need to meet with GMHEC staff,  or teams from our member institutions, please contact Katherine Shuler for room availability at katherine.shuler@gmhec.org.

Please Welcome our New Employees!  


Our new Accounts Payable Specialist 
Nicole Ouellette comes to us as a 2019 graduate of Saint Michael's College! She has joined GMHEC in the role of Accounts Payable Specialist, and will work closely with the rest of the AP Shared Services team in supporting our member institutions. Nicole resides in Chittenden County in her new post-grad apartment!



Our new Human Capital Business Analyst
Lisa Hoff has joined GMHEC in the role of HCM Business Analyst.  She will be primarily dedicated to supporting our member institutions' Human Resource Teams and the Project Ensemble team with the Oracle HCM/HR project.  Lisa has significant experience with human resource management systems and has already been involved with Oracle as a dedicated 'SME' (Subject Matter Expert) since the Oracle HCM project began.  Lisa resides in Addison County with her husband, two daughters, and two dogs!
