We are pleased to announce that City Tech will be replacing the current City Tech email system (Outlook Exchange) with the CUNY Microsoft Office 365 (M365), a cloud-based email system accessible through the cloud.

Currently, you have access to the Office 365 applications where you have the ability to leverage the Microsoft Office 365 for Education suite including OneDrive for Business, SharePoint, Teams, as well as widely used Microsoft applications such as Word, Excel, and PowerPoint. In addition, you have access to 1TB of cloud storage.

The transition to Microsoft Office 365 will provide you access to your email using your CUNYfirst credentials. This will allow City Tech to progress closer to a Single Sign On (SSO) environment and eliminate the additional login with City Tech credentials for your email account.

To login to your O365 mailbox, go to https://login.microsoftonline.com/. Login using your CUNYfirst Login credentials: FirstName.LastName##@login.cuny.edu (XX being the last 2 or 3 digits of your EMPLID). You will be able to access Microsoft applications and your Exchange mailbox. Open your OUTLOOK app to view new email.

Part-time employees can access their e-mail through the Internet at https://login.microsoftonline.com/.

Full-time employees will have a Outlook client installed on their campus computers.
Full-time employees can also access their e-mail using an Internet browser - https://login.microsoftonline.com/.

1. To create an email, click on the New Email icon.

2. Choose the Insert tab.

3. Click on Attach File and select either Recent Items, Browse Web Locations or Browse This PC.

4. Select the file(s) you want to attach.

5. The file(s) will be attached to your email.

1. Click on the Home tab or choose the New Email icon.

2. On the Message tab, select Signature, and then choose Signatures.

3. Under Choose Default Signature, select an email account to associate with the signature.

4. Under Select signature to edit, select New and type a name for the signature.

5. Under Edit Signature, type the signature that you want and select OK.

1. Open an email message in your inbox to show person’s name on From, To, CC, or Bcc lines.

2. Right-click on the name and select Add to Outlook Contacts, fill in details and click Save.

3. To create a Group, on the Navigation bar, click People.

4. Under My Contacts, select where you want to add the group e.g. Contacts.

5. Click the Home tab and then click New Contact Group.

6. In the Name box, type the name for the group.

7. Click Add Members, and then add people from your address book.

8. Click Save and Close.

1.    Click on the Calendar icon and then click on New Appointment.

Note: An appointment only involves yourself and a meeting involves other people

2. Enter information in the Subject and Location boxes, then in the Start and End times.

3. To make an appointment recurring, click the Recurrence button in the Options group and set the recurrence pattern and range of recurrence and then click OK.

4. The reminder appears 15 minutes before the appointment start time. To change this, set the Reminder drop down box to a new reminder time. To turn reminder off, select None.

5. Once all options are selected, click the Send button.

1. Click on the Calendar icon and click New Meeting.

2. In the Subject box, state purpose of the meeting.

3. Enter the Start and End times.

4. In the meeting request, type any information you want to share with the recipients. You can also attach files.

5. Click Add Attendees, then type the recipients’ names, email addresses, or resource names (separated by semicolons) in the Required, Optional, or Resources boxes.

6. To switch back to the meeting request, click Appointment, then click Send.

1. After logging in, click on New at the top of the page.

2. Enter your information in the relevant boxes. To insert a file, choose Attach.

3. Select the text to change, and pick a tool to from the pop-up toolbar to change the format.

4. You can also use the toolbar with more options at the bottom of the message body.

2. In the left panel under Layout, click Email Signature.

3. Check the appropriate boxes.

4. Create your signature.

5. Click Save then Options to return to the previous screen.

3. In the Add Contact form that opens, add more information about the contact.

1. Click on the Apps button at the top left of the page and select People.

2. Under Your Contacts in the left pane, select the folder in which you want to put the contact list. Otherwise the list will be created in the Contacts folder.

3. On the toolbar, select the down arrow next to New and then select Contact list.

4. In the blank form that opens, enter List name. Once you start typing in the Add members box, the Addresses pop up for you to easily select names.

5. Select Save to save your changes.

1. Click on the Apps button at the top left of the page and select Calendar.

2. Select the down arrow next to the New button and click Calendar Event.

3. Enter the necessary information in the Title and Location boxes.

4. Enter the Start and End times.

5. To make the appointment recurring, click the Repeat drop down arrow to set the recurrence pattern to one of your choice.

6. By default, a reminder appears 15 minutes before the start of the appointment. To change when the reminder notifies, click the Reminder box down arrow and select a new reminder time. To turn off reminder, click None.

7. Click Save, to save your changes.

3. Click on Change your password to the bottom right of the My account page.

4. Enter the current password.

5. Enter your new password and confirm it.

6. Click Save and then Options to return to the previous screen.

Note: Up to 4 devices are allowed for each mailbox.

1. Click on the Settings menu icon and select Options.

2. In the left panel, click on General and select Mobile devices.

3. Select the device to remove, usually the one with the oldest Last sync time.

4. Click the “—“ to remove and select Yes to “Remove device?

5. Click Options to return to the previous screen.

A message with attachment(s) is limited to 32 megabytes in size and applies to all internal and external e-mail.

Any e-mail account that has not been accessed in 365 days or more will be disabled.

E-mails to a large group of people can be sent by authorized staff. Any messages sent to Everyone, must be authorized by and sent by Campus Vice Presidents and upper administration.

As a City Tech student, you have an official City Tech Microsoft Outlook email account. It is very important that you check your campus email every day, so you receive communications from your professors and college offices.

To access your City Tech Outlook email, please log into your Microsoft 0365 account.

NEW USERS (if you have never logged in to your City Tech email account):

  1. Look up your User ID here.
  2. Your default is password is your First initial of first name UPPERCASE + first initial of last name lowercase + MMDDYYYY + last 4 of your EMPL ID.
    For example: If your name is John Doe and your date of birth is 01/06/1986 and the last four digits of your EMPL ID are 1234, your password is —> Jd010619861234 (no spaces OR dashes). Password: (for all other students) Use the password you created.
  3. Log into your City Tech Email using the entire email address as the User ID
  4. You will be prompted to change your default password and set up Multi-factor Authentication (MFA)
  5. Once you are in the MS 0365 account, select the Outlook icon on the left to load your City Tech Email

ALL OTHER USERS (if you have logged in to your City Tech email before):

  1. Log in to your City Tech Email.
  2. If you have forgotten or do not know your User ID, look it up here.
  3. If you have forgotten your password, go to https://login.microsoftonline.com/ and click the ‘Can’t access your account’ link, select ‘Work or school account’ and follow the instructions on the screen
  4. Once you are in the MS 0365 account, select the Outlook icon on the left to load your City Tech Email

Once logged in, click on Outlook icon on the left hand side to view your City Tech email.

Visit https://login.microsoftonline.com
Enter the student email username, then click Next.
Username: Firstname.Lastname@mail.citytech.cuny.edu

Note: If you do not recall your student email username, click: Lookup your E-mail address here.

Password: (for new students)
First initial of first name UPPERCASE + first initial of last name lowercase + MMDDYYYY + last 4 of your EMPL ID.

Example: If your name is John Doe and your date of birth is 01/06/1986 and the last four digits of your EMPL ID are 1234, your password is —> Jd010619861234 (no spaces OR dashes).

Note: For all other students use the password you created.

On the Additional security verification page, under How should we contact you? Select Authentication phone.

Select the country/region code and enter your 10-digit mobile number.

Under Method, select Send me a code by text message, then click Next.

You will receive a 6-digit verification code, enter the code and click Verify, then click Done.

On the Update Your Password page, enter the current password, then enter and confirm your new password.

After creating the password, you will be directed to Microsoft Office 365 account.

Click on Outlook icon outlook icon on the left hand side to view your City Tech email.

1. On the login page, click on "Can't access your account?". 
2. Select Work or school account. (if prompted). 
3. Enter your student email username and the special characters displayed, then click Next. 
4. Select the reset method of choice: email, phone (call or text) or security questions. 
5. Enter the security code sent to you, then enter and confirm a new password, then click Finish. 

  1. Go to https://login.microsoftonline.com and log into your MS O365 student email account.
  2. Click on the Setting icon (sprocket icon) located on the upper right hand side of the page.
  3. Under Password, click on Change your password.
  4. Type in the current password you have for your account within the Old password box.
  5. Type in your new password within the Create new password box.
  6. Once again, type in your new password within the Confirm new password box, then click Submit.

No, you will lose access to One Drive and Microsoft 365 applications once you graduate with your Associate’s or Bachelor’s degree. Please backup all your documents and other files before your graduation date.

Security info is an alternate contact email address or phone number that you add to your account. If you forget your password, or if someone else is trying to take over your account, we send a verification code to that alternate email or phone number. When you give the code back to us, we know that you’re really you so we can help get you back into your Microsoft account.

1. Visit https://login.microsoftonline.com and log into your student email account. 
2. Once logged in, click on your Profile Icon located on the upper right hand side, then click on View Account. 
3. Click on Update Info within the Security info box. 
4. Click on + Add sign-in method and select the method of choice. These methods will help you to sign into your account or reset your password.

The Campaign Enterprise System allows faculty and staff the ability to send personalized bulk customized emails to a user-defined population. The system enables the sender to attach multiple attachments, schedule email jobs and makes sending recurring email messages an ease, etc. Please submit a CUNY IT Help Ticket for access.

  • Messages sent to ALL students must be approved by the Office of Enrollment Management.
  • Only designated users are permitted to send e-mail messages to ALL faculty & Staff. Please contact your Vice President or Provost for sending messages to all faculty & Staff.
  • Messages sent to a particular population of students can be sent through the Campaign Enterprise System.

In accordance to collective bargaining agreements, all City Tech retirees are given the opportunity to have a University/CityTech retiree email account. In accordance to College procedure, the retiree must make a request to the Office of Instructional Staff relations or Human Resources in order to obtain a retiree e-mail account. The retiree e-mail account will be a separate system and will not provide access to the individual’s e-mail mailbox prior to retirement. The retiree e-mail will be a Microsoft 365 account that will have the @ret.citytech.cuny.edu suffix.

Microsoft Multi-factor Authentication (MFA) creates an additional layer of security when logging into your Microsoft Office 365 account. This additional security is associated with something in your possession, such as a personal smartphone, that would be unavailable to someone who gained access to your Microsoft Office 365 account.

The first factor in MFA is your account password. The most convenient second factor option is to use the Microsoft Authenticator mobile app on your smartphone to approve the sign-in.
