POSITION SUMMARY
A Billing and Contract Specialist is responsible for accurately and expeditiously invoicing a broad range of petroleum products to customers, ensuring the limits of the contract terms are met. This position requires someone who is customer-service focused, able to identify potential issues, and take initiative to prevent future discrepancies. The ideal candidate will be detailed oriented, comfortable with billing processes, business software programs, spreadsheets, and basic accounting.
This is a full-time position located in Onalaska, WI with a Monday through Friday, daytime hours schedule. Some overtime may be required. This position will also be responsible for:
- Preparing and distributing contract confirmations
- Execution and administration of contract amendments
- Analyzing bills of lading to determine origin, destination, products, and freight handling
- Review of sale orders for reasonableness and accuracy regarding products being sold, supply source, delivery location, selling price, freight, and credit terms
- Creating and analyzing invoices to ensure compliance within contract terms
- Interaction with Commercial Sales, Marketing, and Logistics teams
- Providing customer service on contract balances or billing discrepancies
- Completion of various month end activities including reconciliations, reporting, and expired contract maintenance
- Working with Accounting staff on a variety of tasks as needed
- Other duties as assigned
QUALIFICATIONS:
- Two or four year business related degree is desired
- Proficient computer skills, including Microsoft Office and business software programs
- Must be detail oriented with strong problem-solving skills
- Ability to work with a team in a fast-paced, high-volume environment with emphasis on accuracy and timeliness
- 2+ years of experience in accounting or billing preferred
- Previous experience in fuel or related industry is a plus, but not required
